Create a Parts Master


Every cataloged part needs a Part Master to define the cost, price, description, and status. Organizations supporting multiple locations can manage a single Parts Master while keeping parts inventories unique across all locations.

After reading this article you will be able to:

Step One: Navigate to the Parts Master

  1. Click the App Launcher icon.

  1. Enter Parts Master in the search area.
  2. Click the Parts Master link.

Step Two: Add a New Parts Master

  1. Click the New button.

  1. Select the Manufacturer.
  2. Fill in the * required fields.
  3. Click Save.

Step Three: Edit the Parts Master Record

You can add quite a bit more information to the parts master record by clicking the Edit button (this is not required). More field data can be added to the Parts Master record within the details component. 


General Parts Master Record

The general parts record contains the edit button (a), details containing parts master fields (b) and Related Lists (c).

Part Detail

The Parts Detail section contains general information of the parts master. 

Field Description
Parts Number This is the Part number presented without the MFG added.
Part Description Description of the part, This field is Searchable by the Global search and the parts lookup search.
Stocking Group This sets the Stocking group so Orders can be batched by Group, Currently not used in the system outside of Default Stocking Group.
Category Second level reporting category for parts master. This value can also drive specific accounting.
Status Picklist to establish whether the part is current or obsolete. To be used in Conjunction with the Parts Supersession on the Local parts level.
Manufacturer Manufacturer of the part, This is used to group, and to create the unique part number. This does not equate to the Source. When in doubt use OT or Other.
MFG Comments Comments for this specific part set by the Manufacturer.
Product Tax Code The relevant Product type for tax purposes.

Price Tape Data

The Price Tape Data section contains pricing information of the parts master.

Field Description
Retail Price (a) This will be the suggested sale price on all deals, Service and Parts Invoices.
Jobber Price (b) Price to Charge a Jobber Account.
Warranty Price (c) Warranty Sale Price as required by the MFG.
MAP (d) Minimum Advertised Price (Min Sale Price MSP).
Price Tape Last Updated (e) The date the price tape was last updated.
Cost (f) Manually Set Cost of the Part. Actual Cost will be captured at the Parts Level. This field is used on the Deal, and all service related items to establish the cost shown.
Pack QTY (g) Defines the number of parts that you order at one time. All PO's for this part will respect the Pack Quantity Pricing on Receipt.
Core Value (h) Value of the Core as per the Vendor.
Core Required (i) If this is checked there is a Core Charge on the part.

The Specifications section contains sizing information of the parts master. 

Field Definition
UPC (a) UPC Code designated by the part MFG.
Applications (b) Searchable list of applications for this part.
Labor Time (c) Factory suggested labor time.
Width (d) Width measurement.
Height (e) Height measurement.
Length (f) Length measurement.
Weight (g) Weight of the part per the MFG.

Definition Elements

The Definition Elements section contains part names that define the Part Master.

Field Definition
Part MFG:No. (a) MFG:Part Number, unique number across all inventories.
Raw Part Number (b) Part number without hyphens or other format related items.

Images / Catalog Information

The Images / Catalog Information section contains images and text resource. 

Field Definition
Catalog Image (a) Image of this part saved as a URL in a Long Text Field.
Created By (b) The user/date/time for the added illustration on Parts Master.
Last Modified By (c) The user/date/time of most recent modification.

Related Lists

Related Lists are a selected group of Objects that relate to the Parts Master record.

Field Definition
Parts (a) This object represents active parts inventory
Parts Kit Item (b) Line items in the parts kits, parts assemblies or packages.
Parts Supersessions (c) Tracking of Part Supersessions related to the Parts in Inventory. The Supersession will update the current Parts Master to the new Parts Master Number, all related parts local inventory records will also update to the new Parts Master number.
Purchase Order Line (d) Purchase order lines record the details for the issued purchase order. There can be a variable number of purchase order lines on each record type to accommodate the needs of the use case
