Create a Sales Up Report Sorted by Salesperson
Goal
After this lesson, you will be able to create a report to see your sales ups sorted by Salesperson and the Status of the Sales up.
First Step
On your tab bar click on the Reports Tab.
Next click on the New Reports button.
Here is where you will select the Report Type. For this lesson, we will be selecting Sales Up for our report type. Start by typing in the search it will be changing the report type options as you type in the search field. Click on Sales Up. (Notice the multiple report types associated with the Sales Up)
After selecting report type click Create.
Step 2
Now we will be configuring the set up of your report. In the Show field, you will have choices on how you would like this report to pull its information, do you want a report on just My Sales Ups or if you are a manager with a team you can select My Team's Sales Up. For this report, I want to see All Sales Up for the dealership. Click on All Sales Up.
Date field will have all date fields related to the Sales Up record, here you can see how many options you can have as far as building report on the Sales Up. For this lesson, we will select Lead Date.
In the Range field, we will be selecting the date range you would like the report to pull the information from. In this lesson, we will select This Month.
Step 3
Here we will configure what fields we would like represented in our report. You can already see the report starting to generate the Sales Up information into it. From the available fields on the left, you can Drag and Drop fields from all the available fields associated with the Sales Up record. (Here is another place you can see how many options you can have while running a report on a Sales Up). for this lesson, we will select Lead Status and Lead Type.
Using the Drag and Drop method I have selected a few more fields. Mobile Phone, Email, Source and Sales Person.
Now we will filter the report to show the information we would like to see in it. Click on the Add drop-down and click on Field Filter.
After getting into the filter section we want to filter the Lead Status. Select Lead Status.
After selecting what field you would like to filter and by selecting Lead Status it will give you options on how you would like to filter the Lead Status field. In this lesson, we will select not equal to.
The reason we selected not equal to is now we have fewer options to select in the Status of the Sales Up. This report we will be reporting on the Sales Up's that we have not sold or have already deemed not to purchase (working Sales Ups). We selected not equal to the values in the Status of the sales up - Won, Drop, Bought Elsewhere, No Response, and Duplicate. Click Insert Selected.
Click OK.
Step 4
Now Click Run Report at the top of the page. We now have all the information we requested from this report.
Make sure to save your report. Click Save in the upper left corner of the report builder.
Name your report and the Report Unique Name will auto-populate. Save it in a folder if choosing, My Personal Reports will only be seen by the user, all other folders will be seen by others depending on role in the company.
Nice to know. After the report has been built you can always open them and change the dates to see any date range you would like to see, Last Month, Last Year, Current Year, and so on. As long as you don't save the report with other dates it will remain the date range at last saving.
